Appointment Modification Policy

We understand that life is unpredictable: you get sick, traffic happens, childcare cancels, meetings get moved, plans change. At the same time, every appointment you book is time your provider sets aside just for you. When an appointment goes unused, it’s not only lost time for your provider but also for another patient who may have been waiting to come in.

For that reason, we have a straightforward policy:

If you cancel with less than 24 hours’ notice or don’t show up, a $100 fee will be charged (if your appointment is at 3pm you must cancel before 3pm the prior day).

This fee will not be waived and will not be applied toward any future treatment. It is simply a charge to protect our providers’ time.

If you’ve booked two treatments on the same day (say, Botox and filler) and decide to only get one of them, that change also counts as a cancellation for one of the treatments and will carry a $100 fee.

We know this may feel strict, but we hope you see it as part of how we respect both your time and our team’s. Our providers plan their schedules carefully around each patient, and this policy helps us honor that commitment while giving other patients the opportunity to book that time.

Cosmetic Consultations

The first step in becoming a cosmetic patient at Center Aesthetic & Dermatology is to schedule your initial consultation with one of our experienced providers. During this time they will evaluate your concerns, help you understand how to best treat them and develop a customized treatment plan based on your goals. Cosmetic consultations with Dr. Cheryl Karcher are $300. If you move forward with treatment, this fee is applied toward your treatment when booked within 3 months of your consultation date.

Cosmetic consultations with Nurse Lynn are $100 and covers her comprehensive evaluation and treatment planning during your visit. During your visit, she’ll create a personalized treatment plan based on your goals and aesthetic priorities. Treatments are an additional cost and can be scheduled the same day, if appropriate.

All new cosmetic patients must secure their appointment with a $100 deposit at the time of booking.

This deposit is applied to the consultation fee:

  • For Dr. Karcher: The remaining balance is due in office.
  • For Nurse Lynn: This covers the full consultation fee.

Cancellations with more than 24 hours notice are refunded in full.

Treatment Preparation

If you are requesting same-day laser treatment (example: Fraxel, Excel V+, SecretPro) with your consultation, please send clear, well-lit images of the treatment area through KLARA® in advance so your provider can confirm candidacy.

All new patients will also meet with a Physician, Physician Assistant or Nurse Practitioner prior to treatment for a brief complimentary medical review to ensure you are an appropriate candidate.

Medical Dermatology (New Medical Patients)

If you’d like to begin medical dermatology care at Center Aesthetic & Dermatology, please schedule an initial exam with Dr. Cheryl Karcher, board-certified in medical dermatology.

The initial exam fee is $300; acne consultations and full-body skin checks are $500. Procedures beyond the exam are an additional cost and will be quoted in advance.

We do not accept insurance. A $100 deposit is required to reserve your appointment and will be applied to your visit. Cancellations with more than 24 hours’ notice are fully refundable.

Established Patient Consultations

Established patients are welcome to return for in-office consultations to discuss new concerns and treatment planning. A consultation with Dr. Karcher is $300 and applied toward treatment when booked within the 3-month window. Consultations with Nurse Lynn are $100 and treatments are an additional cost. Virtual consultations for established patients are complimentary and may be available per provider recommendation.

Payment Security

All deposits and payments are securely processed through Stripe, a HIPAA compliant system. Center Aesthetic does not see or store your credit card information.

Financial Policies

Center Aesthetic & Dermatology accepts American Express, Mastercard, Visa, Discover, Care Credit and cash. You will always be quoted prior to treatment and payment is due at the time of service. If paying by credit card, the card must be in the patient’s name. If the patient is not the cardholder, a credit card authorization form must be on file from the authorized cardholder. This form can be provided to you by our Concierge Team. If you intend to pay for your treatment with Care Credit®, our concierge team must be notified before treatment. Please contact our Concierge Team for information regarding Care Credit® terms and conditions or to request an authorization form.

Photo Policies

All Patients are required to have their photo taken as part of their medical record. We use these photos as a tool to help track your journey and maintain clear and accountable progress throughout your individual process at Center Aesthetic & Dermatology. Photos are a part of your medical record and therefore secured using HIPAA compliant technology. Photos are never published or shared without direct written consent from a patient.

Patients are asked to remove makeup, accessories or anything that could distract from photo consistency. Patients may also be asked to secure their hair away from their face for which we will provide hair elastics and headbands.

Depending on the treatment, we may ask for another set of photos before you leave your appointment.

Sofie Pavitt - Deposits & Cancellation Policy

For any New Patient appointment booked with Sofie Pavitt, you are required to leave a deposit of $500 at time of booking, which goes towards the cost of treatment of that confirmed appointment. Any balance remaining will be paid for at time of treatment. Should you need to cancel or move the confirmed booking within 24 hours (or 1 business day), you will forfeit the $500 deposit.

For any Established Patient appointment booked with Sofie Pavitt you will automatically be charged a $500 Cancellation Fee if you move or cancel within 24 hours (or 1 business day) your confirmed treatment appointment.

The Deposit & Cancellation Policies are valid for both individual treatment bookings, as well as treatment package bookings.
